What we're looking for:

Wrike is looking for an HR/Operations Coordinator to support the team based in Tokyo, Japan. We are seeking a strong administrator who understands the importance of process and procedure, but appreciates the fast-pace of a growing tech environment. The perfect person will be passionate about company culture, and making Wrike an amazing place to work for all of our teams. You will be a key piece to our People Operations puzzle and you will support our APAC HR team with a variety of administrative responsibilities.

About the Role: On a day-to-day basis you will partner directly with the APAC HR Business Partner and local leadership to optimise employee experience for the Tokyo team, and to support broader global HR projects and initiatives.

(HR)

  • Act as local subject matter expert for all things related to employment in Japan.
  • Update HR systems with new employee information, contact details and employment forms.
  • Prepare HR-related reports and analytics as needed.
  • Address employee queries about benefits.
  • Own employee orientation and onboarding process in Japan.
  • Provide support with global mobility / immigration for employees, into and out of Japan.

(Workplace Operations)

  • Maintain the local office environment by keeping it clean, organised, comfortable, and safe for employees.
  • Manage shipping, postage and stationary stock.
  • Assist with company culture initiatives, acting as key point of contact and organiser for local events, as well as supporting with broader global objectives.
  • Oversee and administer local office vendors.
  • Manage company merchandise and supply.
  • Provide localised IT help-desk support for basic troubleshooting issues.
  • Assist with travel coordination for executives, leaders, and employees as needed.
  • Maintain communications with building management and ensure provisioning of access for new hires and visitors.

(Talent)

  • Help organise and streamline reporting within our Applicant Tracking System – Greenhouse.
  • Assist in scheduling and confirming interviews with candidates across the APAC region.
  • Assist with internal job board, careers page and external posting strategy and management.
  • Create, implement and manage social network calendar in order to support talent branding.

A strong candidate for this role will meet the following profile:

  • Fluent in both Japanese and English.
  • Some experience in HR Admin, Office Manager.
  • Strong at building relationships with stakeholders (at manager and employee level).
  • Resourceful and self-directed; this role requires an individual who is a self-starter to get the ball rolling quickly.
  • Proven ability to handle multiple tasks with little or no supervision.
  • Ability to wear many hats on a day-to-day basis.
  • An extremely high sense of urgency and ability to work in fast-paced, ever-changing environment.
  • A natural born problem-solver who enjoys the pace and agility of the tech industry.
